Overview
The Customers module in RITE POS replaces your paper notebook with a digital Customer Relationship Management (CRM) system — including the traditional Indian Khata (credit ledger). You can add patients/customers, track their credit balance, reward repeat buyers with loyalty points, and see their complete purchase history.
Adding a Customer
Go to the Customers section (via More → Customers or the Customers quick action on the dashboard).
Tap + (Add Customer)
Tap the + icon in the top right of the Customers screen.
Fill in Details
Required: Name and Phone Number.
Optional: Email, Address, City, State, GSTIN (for B2B customers), Customer Type (VIP / Regular / Walk-in).
Save
Tap Save. The customer is added to your local database and synced to the cloud.
You can also add a customer during a sale: in the POS cart screen, tap "Add Customer +", then "New Customer" to add directly without leaving the billing screen.
Customer Types
| Type | Description | Use case |
|---|---|---|
| VIP | Your most loyal, high-value customers | Patients with regular prescriptions; give special treatment and priority at counter |
| Regular | Known repeat customers | Monthly medicine buyers; track credit and loyalty |
| Walk-in | One-time or anonymous buyers | Default for quick sales without a customer profile |
Khata — The Credit Ledger
The Khata is RITE POS's digital replacement for the traditional credit notebook. It tracks how much each customer owes your pharmacy.
How credit works in RITE POS:
- A positive Khata balance means the customer owes your pharmacy (they bought on credit)
- A zero balance means they are clear
- Each credit entry (debit or credit) is a KhataEntry with a timestamp, amount, note, and running balance
Creating a credit sale:
- In the POS cart, add the customer
- Tap "Charge ₹{Total}"
- On the payment sheet, select the Credit tab
- The screen shows the customer's current credit balance
- Tap "Add to Khata" — the invoice amount is added to their credit balance
Recording a payment against Khata:
- Open the customer profile
- Tap "Record Payment"
- Enter the amount paid (cash or UPI)
- The Khata balance is reduced by that amount
Loyalty Points
RITE POS has a built-in loyalty points system to reward repeat customers.
How points work:
- Points are earned on every completed sale (not on credit sales until they're paid)
- Default: 1 point per ₹100 spent (configurable in Settings → Loyalty)
- Points can be redeemed at checkout: 100 points = ₹10 discount (configurable)
- Points have an expiry date (configurable, default 1 year)
Redeeming points during a sale:
- Add the customer to the cart
- In the cart footer, the available loyalty points are shown
- Tap "Redeem Points" to apply as a discount
- The discount is deducted from the invoice total before payment
Customer Purchase History
Open any customer profile and tap the History tab. You will see:
- A chronological list of all invoices for this customer
- Each entry shows: date, invoice number, amount, payment mode, and status
- Tap any invoice to open the full invoice detail or reprint it
- Summary: total purchased, total paid, current balance, total visits, loyalty points
This is particularly useful for tracking prescription refills — you can see exactly when a patient last purchased a medicine and in what quantity.
Searching Customers
The Customers screen has a search bar at the top. Search by:
- Full name or partial name
- Phone number (partial match supported)
You can also filter by customer type (VIP / Regular / Walk-in) using the dropdown filter.
Customer Data Privacy
Customer data is personal information under India's DPDPA (Digital Personal Data Protection Act). As the shop owner, you are the data controller for your customers' information. RITE Labs is the data processor.
- You should obtain customer consent before storing their phone number and purchase history
- Customer data is stored encrypted on-device and synced securely to Firebase
- Only authenticated employees of your shop can access customer data
- If a customer requests data deletion, you can delete their profile from the Customer detail screen
